Assignments Coordinator

Job Overview: 

As with any position under the auspice of Drexel Business Services (DBS), there is an understanding and expectation that every member of the DBS team work collaboratively with colleagues internal and external to Drexel University. A commitment to the DBS mission, statement of purpose, and core values is salient to the operational wellbeing of the Division. As a key participant and leader in DBS and subsequently University Housing, the Assignments Coordinator supports the Associate and Assistant Director in daily functionality of occupancy management and housing administrative systems on Drexel University's main and center city campuses. Specifically, the Assignments Coordinator will support the management of room assignment functions of the Drexel University housing program consisting of the University City Main Campus, Center City Hahnemann Campus, and 34th Street Housing. The Assignments Coordinator serves as a primary contact for assignment questions from families, students, and staff. The position requires a high level of customer service to both students, parents, and campus partners.

Drexel Business Services oversees services for three campuses including campus dining, retail management, the university bookstores, vending, identification card services, the student centers, event services, parking services, printing and mailing services and university housing.

It is the mission of Drexel Business Services to operate and expand a marketplace that delivers high quality services that are customer responsive, built on strong internal and external partnerships, and is integral to the financial strength of Drexel University.

Qualifications: 
Bachelor's Degree required with one to two years related experience.

Essential Functions:
  • Serve as contact for student and family questions regarding housing assignments and billing. Communication will include answering phone calls, working with walk-in traffic and responding to e-mail messages. Work with several campus partners on a regular basis to ensure optimal customer service to students and families. Campus partnerships include, but are not limited to: The Residential Living Office, Student Financial Services, Enrollment Management, and Financial Aid.
  • With the Associate and Assistant Director of University Housing, coordinate aspects of the room assignment processes during academic terms for all University operated and leased residential facilities. This includes new incoming student assignments; room changes and correspondences; wait list assignments; room cancellations, etc.
  • Enter and maintain assignment data in occupancy management databases in provided software as well in the University's Information Management System. Handle all student records with utmost confidentiality and professionalism.
  • With Assistant and Associate Directors of University Housing, plan, implement and execute the quarterly Opening/Closing and Term Switch processes as well as an annual Room Change Day. Represent University Housing at these events (weekend and evening work may be required during peak times).
  • Process appropriate charges to student accounts including (but not limited to) room, term break and damage charges.
  • Work with Assistant Director of University Housing and campus partners regarding housing application cancellations fee appeals. Correspond with students in a timely manner regarding the result of such decisions and file all associated paperwork.
  • Represent University Housing at University Housing marketing events, New Student Orientation, Enrollment Management events, Open Houses, and other University programs. Limited nights or evening work is possible to meet this expectation.
  • Process room changes in collaboration with Assistant Director and building Resident Directors. Processing includes the approval of room change requests, the notification to all affected professional staff, and any follow-up.
  • Perform additional duties as assigned.
