Job Description:
Schedules all non-academic use of campus facilities; Inputs, retrieves, and updates event setup information and produces event reports through EMS event management system; Explains policies and procedures for use of Camden Campus facilities; Advises clients and the public on setup options and types of materials needed to achieve desired results; Calculates and provides clients all estimates of potential costs incurred in completing an event; Resolves problems or complaints from clients in accordance with established policies and procedures; assists other events staff to finalizes event requirements including table arrangements and number and nature of support personnel needed, such as ushers, security guards, caterers, and decorators; makes or arranges for last minute adjustments in room or equipment setup at the request of event planner; demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service; able to plan, coordinate and implement the smooth operation for routine, smaller events independent of other staff members; performs other duties as assigned.
This position also coordinates the operational and technical support for non-academic events both on campus and at the Camden County Boathouse as required. It provides direct consultation with event organizers--both internal and external users--regarding technical needs, determining labor needs and costs, and participating in pre-production meetings. Evaluates each event and makes recommendations for improving procedures and effectiveness. Is responsible for working with the Department of Fine Arts staff to approve and book reservations for Gordon Theater and Black Box in the campus reservation system as well as determining and recording all costs and prices associated with events in the theater and those that require technical components (sound, audio, lighting). Responsible for hiring Type 4 and 5 staff for Gordon Theater as well as scheduling and approving hours for theater event staff. Researches, evaluates, and procures vendors as needed. The position meets with key users to develop and implement operational policies, including campus reservation system, hours of operation, required levels of supervision, charge rates and rental and staffing fees.
Job Requirements:
B. A - Bachelor's Degree in related field; proficiency in MS Excel and Word; highly computer literate with ability to master new computer software applications; excellent oral and written communication skills; must work well under pressure in a fast-paced, time-sensitive, event-driven environment with shifting priorties and multiple deadlines.
- Minimum of three years experience in production of professional theatre and music events; professional sound reinforcement and audio sound engineering.
- Up-to-date knowledge and application of professional standards for performance facilities
- Broad knowledge of technical theater principles and practices
- Thorough understanding of and familiarity with a wide range of sound reinforcement, audio, video, projection, theatrical lights, and multimedia equipment
- Current knowledge of professional theatrical, equipment, management, and practices
- Excellent interpersonal competencies, such as listening and communication skills, decisiveness, problem-solving
- Ability to to effectively train and manage student workers
- Flexible schedule with frequent work hours during weekends and evenings
- Proactive in terms of continually assessing and willingly doing what is required to ensure success of events and upkeep of facilities/equipment
- High degree of physical strength and stamina; patience in handling long rehearsals, performances and set up for events
- High degree of responsiveness, reliability, and assurance with guest artists and event sponsors -- fostering customer-oriented values
The position requires extensive, advanced working knowledge of all aspects of theater operations including but not limited to operational, technical, organizational, safety, staffing, theatrical, and interpersonal fields.
