Located in Center City, Philadelphia, The William Penn Foundation is seeking an experienced and personable Receptionist to provide a warm and courteous greeting to visitors and staff. The Receptionist is responsible for all front-desk functions including telephone coverage, facility requests, mail distribution, and kitchen support, as well as administrative responsibilities for grants management and other departments. This is a full-time position. It requires a high degree of professionalism, dependability, and discretion.
Responsibilities:
  • Routing Messages
  • Greeting visitors and staff
  • Mail/Package receipt and distribution
  • Data entry related to grant files and matching gifts
  • Check transmittal letters and e-mail notifications to grantees
  • Invoicing
  • Tracking meeting calendars and conference room reservations
  • Preparing letters and other communications
  • Liaison with building management
  • Kitchen responsibilities
  • Related administrative functions
Qualifications:
  • At least two (2) years of front-desk and administrative support experience
  • Interest in philanthropy
  • Professional and polished interpersonal, written, and verbal communication skills
  • Detail oriented, with the ability to multi-task and prioritize
  • Flexible and able to work as part of a team or independently
  • Dependable, with strong work ethic and personal integrity
  • Capable of maintaining confidential information
  • PC proficient (MS Word, Outlook, and Excel), able to learn new software programs with ease
  • Able to sit for long periods of time and lift packages weighing ten or more pounds
  • Comfortable in an administrative support role
  • BA/BS Degree is preferred
